This guide provides an overview of the Records Management Branch and provides useful information to Records Officers.

IS THERE A SPECIFIC RECORD SERIES FOR COVID-19 RECORDS?

The Records Management Branch is not planning to create a new record series specifically for COVID-19 records. However, we have established a new record series for vaccination attestations that are not required as part of employment. 

HOW LONG SHOULD PCR TEST RESULTS BE KEPT?

Given the high likelihood of personal health information, it is strongly recommended to securely shred or purge records once their administrative value has been fulfilled. 

For PCR test records, which have a short period of administrative value, please use RSN 10313 - Transitory Records, as outlined in the general record retention schedule (GS-1018). 

HOW LONG SHOULD ATTESTATION RECORDS BE KEPT?

Records where an employee/visitor are attesting their COVID-19 symptom status have no long-term value. Use RSN 10313 - Transitory Records on the general record retention schedule (GS-1018).

Vaccine attestation records can be classified in two ways:

  • Option 1. RS #53547 on GS-1006 Vaccination Attestations and Proof of Vaccination Records.
  • Option 2. RS #30679 on GS-1006 Official Employee Medical Files

DOES A CERTIFICATION OF DESTRUCTION NEED TO BE COMPLETED?

Yes. All records that have met retention and been disposed need to be reported on a Certificate of Destruction.

All records that have personal or medical information, should be shredded.

For transitory records, we recommend identifying the type of record that was destroyed.

ARE ALL COVID-19 RECORDS PERMANENT OR HISTORICALLY SIGNIFICANT?

Not all records related to COVID-19 are historically significant. The list below identifies series of records on the general retention schedule that may be classified as being significant. Once records in the series below have met their established retention period, please contact the State Archives if you wish to have them assessed for archival value.

SHOULD COVID-19 RECORDS BE KEPT IN CASE OF POSSIBLE LITIGATION?

Your agency should consult with your legal counsel to determine if any COVID-19 records should be retained in case of possible litigation.
